How PickPackFlow collects, uses and protects personal data — both for visitors to this website and for the client businesses whose orders we fulfil.
1. Who we are
PickPackFlow Ltd ("we", "us") provides third-party logistics services including order fulfilment, warehousing, packaging, marketplace preparation and freight forwarding.

2. Controller and processor roles
For personal data collected through this website — for example when you submit an enquiry — we act as a data controller and decide how that information is used.
For personal data contained in the orders we fulfil on behalf of our clients — such as the name and delivery address of a client's customer — we act as a data processor. The client remains the controller, and we process that data only on their documented instructions under a written data processing agreement.
3. Information we collect
Depending on how you interact with us, we may collect:
- Contact details you provide in an enquiry: name, company, email address and telephone number.
- Information about your business supplied to allow us to quote: order volumes, SKU counts, sales channels and handling requirements.
- Correspondence between us, including emails, messages and call notes.
- Order data supplied by our clients for fulfilment: recipient name, delivery address, contact details and order contents.
- Technical information such as IP address and browser type, where it is collected by our hosting provider for security and reliability purposes.
4. How we use personal data
We use personal data for the following purposes:
- To respond to enquiries and prepare quotations.
- To provide fulfilment, storage, packaging, preparation and freight services under a contract with a client.
- To arrange carriage and delivery, which requires sharing recipient details with the chosen carrier.
- To prepare customs documentation where a shipment crosses a border.
- To meet our legal, tax and accounting obligations.
- To protect the security and integrity of our systems and premises.
5. Legal bases for processing
Where we act as controller, we rely on our legitimate interests in responding to business enquiries and operating our business, on the performance of a contract where we are providing services to you, and on compliance with a legal obligation where the law requires us to retain or disclose information.
Where we act as processor for a client, the legal basis for the underlying processing is determined by that client as controller.
7. International transfers
Where personal data is transferred outside the United Kingdom — for example when arranging international carriage or preparing customs documentation — we rely on an adequacy decision where one exists, or on appropriate safeguards such as the UK International Data Transfer Agreement or the addendum to the EU Standard Contractual Clauses.
8. How long we keep it
We keep enquiry correspondence for as long as needed to deal with the enquiry and for a reasonable period afterwards. Order and shipment records are retained for the period required by our contract with the relevant client and by tax, customs and accounting law. Once a retention period ends, records are securely deleted or anonymised.
9. Your rights
Under UK data protection law you have the right to request access to your personal data, to have inaccurate data corrected, to request erasure or restriction of processing, to object to processing based on legitimate interests, and to data portability in certain circumstances.
If your data was supplied to us by one of our clients — for example because you ordered from a brand whose orders we fulfil — please contact that brand in the first instance, as they are the controller. We will assist them in responding to you.
